CANCELLATION POLICY

An administration fee of 30% will apply to registration and accommodation cancellations received on/before 22 February 2019.

No refunds can be made for any cancellations received after 22 February 2019.

Registrants may transfer their registration to a colleague and an administration fee of €50 will apply.

All refunds due will be processed after the conference. Refunds paid are less any bank or credit card charges.

Cancellations must be received in writing by the conference secretariat by the dates specified. Credit cannot be given for unused service, unattended events or early termination of attendance.

Payment can be made online via credit card – Visa and Mastercard accepted.

Payment can also be made by bank transfer – account details are on the registration system.

Travel

By Plane

Frankfurt am Main Airport is a major international airport located in Frankfurt and serves as the main hub for Lufthansa including Lufthansa CityLine and Lufthansa Cargo as well as Condor and AeroLogic.

By Bus

Frankfurt is a central crossroads and is served by bus from several national and international cities. The long-distance coaches stop at both the Main Train Station and Frankfurt Airport.

By Train

Every day over 1,100 trains connect the city with numerous national and international destinations, while more than 700 ‘S-Bhan’ commuter trains take passengers to stops and stations in Frankfurt and the surrounding region. All in all, more than 400,000 travellers pass through Frankfurt Main stations each day.

Reaching The Hotel

The hotel is easily reached from the airport via public transportation: just take the city train S8/S9 from the airport in the direction of Offenbach/Hanau – it travels directly to “Frankfurt Hauptbahnhof” in about 20 minutes. Follow the signs directing you to “B-Ebene”. Take the exit Baseler Strasse und turn left into Wiesenhuettenstrasse. The hotel is located on the left, directly on Wiesenhuettenplatz.

Currency

The currency of Germany is the Euro.

Foreign currencies can be easily exchanged in banks. ATMs can be found in all parts of the city. Cash withdrawals may be made using your credit/debit card. The logos of accepted cards are shown besides the machine. Most internationally recognised bank credit cards are accepted and widely used in all hotels, restaurants and shopping malls where such methods of payment are indicated by the entrance. 

Electricity 

In Germany, the power sockets are a standard voltage of 230V with a frequency of 50Hz.

 Climate

The average temperatures in May in Frankfurt will be mild, averaging 14-20°C during the day and dropping as low as 9°C during the night. 

Insurance

The Conference Organising Committee, or its agents, will not be responsible for any medical expenses, loss, damages or accidents during the Event. In particular, we would like to draw your attention to the cancellation policy in respect of registration fees and accommodation. In the event that, for whatever reason, the Conference has to be cancelled or postponed, the Organising Committee, and/or its agents, will be responsible only for refund of monies received. We recommend that delegates insure themselves for medical and cancellation charges.

Visas

The Federal Republic of Germany has established strict rules and immigration laws, some of which have been adopted in the Schengen policies, common for all Schengen member states, for those wishing to enter its territory.

Germany, as a member state of the Schengen Area, permits the nationals of 62 countries of the visa-waiver program to enter its territory without the need to obtain a visa first.

According to Germany short-stay entry rules, the residents of the 62 countries are permitted to enter Germany visa-free and remain there for a period of 90 days within six months. During this period, visitors are not permitted to work, but they can engage in business. The countries that are included under the visa-waiver programme can be found here.

If your country does not fall under the visa-waiver programme (listed here), the citizens of which must obtain a visa previous to their trip to Germany. The application process for a Germany visa includes gathering the required visa documents, attending an interview, paying the visa fee, and waiting for a decision on their application.

Please note that it can take up to eight weeks to process a visa application and early application is recommended.

Please also note that the Organising Committee, or its agents, cannot accept any responsibility in connection with visa applications and the normal cancellation policy, for registration fees and hotel deposits, will apply in the event that a delegate is unable to attend the conference due to late submission of their visa application and/or rejection of same.
